RigDeck Privacy Policy
RigDeck is shop-management software for heavy-duty truck and trailer repair shops. This policy explains what information RigDeck handles, why, who helps us process it, where it is stored, and the choices you have. It covers the RigDeck web app at app.rigdeck.ca, the RigDeck Android app (ca.rigdeck.app), and the vendor and fleet-customer portals inside RigDeck.
Who operates RigDeck
RigDeck is operated by Transam Carriers Inc., 205 Doney Cres, Concord, Ontario L4K 1P6, Canada. Questions about this policy or your information: hello@rigdeck.ca or 416-907-8101.
Shops decide what goes into RigDeck
RigDeck is used by repair shops ("shops"). A shop's staff create the accounts of the people who work in it, and enter the shop's records: work orders, units, parts, customers, vendors and invoices. The shop decides what to record and who can see it; we process those records to provide the service to the shop. If you are a shop's customer, driver, vendor or employee and have a question about records a shop keeps about you, you can contact the shop or us.
Information RigDeck handles
- Account information: your name, email address, role and shop membership; a password (stored only as a one-way hash) or, if your shop uses it, your Google sign-in identifier.
- Work and shop records: work orders, reported problems, cause and correction notes, job notes and checklists, time recorded on jobs, inspections, service and parts requests, schedules and PM history.
- Photos and files: photos you take or choose for work orders, vendor jobs, parts and inspections, and documents such as vendor invoices.
- Financial records: estimates, invoices, purchase orders, vendor bills, payments and their status. Card payments are entered on Stripe's pages; RigDeck does not receive or store card numbers.
- Contact information about other people: names, phone numbers and email addresses of a shop's customers, drivers and vendors, entered by shop staff, and their text-message consent status.
- Messages: text messages and emails sent and received through RigDeck for a shop.
- Vehicle information: unit numbers, VINs, plates, odometer and engine hours, and fault codes, including data a shop imports from its connected telematics account.
- Technical and security information: sign-in session cookies; the IP address and browser information recorded with actions in RigDeck's audit log; and server access logs.
RigDeck does not collect your device's location, your contacts, or audio. It shows no advertising, contains no third-party analytics or advertising trackers, and does not sell personal information.
How we use it
To provide RigDeck to shops: run work orders, parts, purchasing, billing and maintenance schedules; let the people a shop authorizes sign in and do their work; send the messages a shop asks RigDeck to send; keep RigDeck secure, including investigating misuse through the audit log; provide support; and meet legal and accounting obligations.
Service providers
We use these providers to run RigDeck. Some are used only when a shop turns the feature on.
| Provider | Purpose |
|---|---|
| Hetzner Online | Servers for stored photos and files and for off-site backups |
| Resend | Sending email (for example invites, password resets, documents) |
| "Sign in with Google", when a shop enables it | |
| Twilio | Sending and receiving text messages, when a shop enables it |
| Stripe | Online payment links, when a shop enables them |
| Intuit QuickBooks Online | Accounting sync, when a shop connects it |
| Samsara | Vehicle telematics import, when a shop connects it |
| OpenAI | The knowledge-base assistant and fault-code explanations, when a shop enables AI features |
Providers receive only what they need for their purpose. We may also disclose information when the law requires it, or as part of a transfer of the RigDeck business with notice to shops.
Where information is stored
RigDeck's database runs on servers in Ontario, Canada. Photos, files and off-site backups are stored on servers in Virginia, United States. Our service providers may process information in the United States and other countries. Information stored outside Canada is subject to the laws of those countries.
How long we keep it
We keep a shop's records while the shop uses RigDeck, and afterwards as long as the shop asks us to or the law requires (for example, for tax and accounting records). Backup copies are kept for disaster recovery: the primary backups are replaced every 14 days, and off-site backups are kept longer. Audit and server logs are kept for security as long as needed for that purpose.
Security
All connections to RigDeck use HTTPS. Access to a shop's records is limited by the roles the shop assigns, sessions expire, passwords are stored hashed, and changes are recorded in an audit log. No system is perfectly secure; tell us at hello@rigdeck.ca if you believe there is a problem.
Your choices and rights
You can ask to see, correct or delete personal information about you by contacting your shop's administrator or hello@rigdeck.ca. Your shop's administrator can disable your account. We respond within 30 days. Some records may have to be kept because the shop or the law requires them. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
The Android app
The RigDeck Android app opens RigDeck in your phone's browser engine. The app itself asks only for internet access. When you choose to take or attach a photo, your browser asks for camera or photo permission, which you can refuse or withdraw in your phone's settings. Sign-in cookies are kept by the browser and removed when you sign out or clear the app's data. Voice typing, if you use it, is handled by your phone's keyboard, not by RigDeck.
Children
RigDeck is a workplace tool for repair shops and is not directed to children.
Changes
We will post changes here with a new effective date and tell shops about significant changes.
